Te Tūranga | About the role
Due to one of our team moving on to another role, we are seeking an Information Requests Coordinator to join Tauranga City Council’s Information Requests team for a 12 month fixed-term position.
This role plays a key part in how we respond to the community by managing the end-to-end process for official information and privacy requests. Rather than general administration, the focus is on coordinating requests, enabling timely and transparent information sharing, and supporting the organisation to meet its legislative obligations.
Working within a small, experienced team, you will help ensure requests are accurately tracked, progressed, and delivered to a high standard. You will work closely with subject matter experts across Council to gather information, support the development of responses, and maintain clear, consistent communication throughout the process.
The role includes but is not limited to:
- Coordinating the end-to-end process for official information and privacy requests, ensuring they are managed efficiently and in line with legislative timeframes
- Acting as a central hub for requests, triaging and distributing to subject matter experts and supporting them to provide accurate, timely information
- Tracking and progressing requests through to completion, maintaining oversight of deadlines, risks, and escalations
- Supporting the preparation of high-quality responses, including drafting correspondence and ensuring information is clear, consistent, and audience-appropriate
- Maintaining accurate records and registers, ensuring transparency, auditability, and compliance with organisational standards
- Strengthening how Council delivers information to the community, contributing to continuous improvement in processes, systems, and response quality
- Promoting best practice in information management and privacy, working collaboratively across the organisation
- Ensuring all activities are carried out in a manner that upholds the principles of Te Tiriti o Waitangi
Ngā Pukenga | What you’ll need to succeed
To succeed in this role, you’ll bring:
- Excellent communication skills both oral and written
- Proven administration skills along with being highly organised
- The confidence to manage communications in various formats to multiple stakeholders both internal and external and at all levels of seniority
- Evidence of a commitment to excellent customer service
- Flexibility with your working style as there will be times when you are asked to assist other teams
- Competence in MS suite of products, finance administration and the ability to work with any other technical support tools within the organisation
- The ability to work effectively as part of a small high performing team
