If so, we’re looking for a Projects Administrator to join our City Waters team to work with and support the people delivering important infrastructure projects across Tauranga.

This is a hands-on admin and coordination role with plenty of variety. You’ll work closely with Project Managers and the Programme Manager, helping with the day-to-day tasks that keep projects moving — things like documents, meetings, action tracking, reporting, financial admin and team support.

If you’re the kind of person who notices the details, follows things through, and enjoys being the go-to support person in a team, this will be a great fit for you.

What you’ll be doing

You’ll help the team stay organised and focused by supporting things like:

  • Keeping project documents, emails, correspondence and registers in order
  • Preparing agendas, taking minutes (or reviewing co-pilot minutes) and following up on meeting actions
  • Helping with communication tasks like mail merges, letter drops and engagement registers
  • Setting up project and contract folders, templates and key project information
  • Supporting project reporting, checklists and gateway documentation
  • Helping with purchase orders, invoices, accruals, contract forms and monthly financial updates
  • Supporting contract set-up using our SAP tool, variations, supplier information and sign-offs
  • Organising practical things like room bookings, catering, PPE, training bookings and general team admin

This role is all about helping project managers save time, stay across the detail, and have the information they need when they need it.

 

Ngā Pukenga | What you’ll need to succeed

You don’t need to know everything from day one — but you’ll need to be organised, proactive and happy to roll up your sleeves.

We’re looking for someone who has:

  • Experience in administration, project support or coordination
  • Strong attention to detail and confidence working with documents, spreadsheets and systems
  • Good communication skills and a helpful, follow-up-friendly approach
  • The ability to juggle a few things at once without losing sight of the detail
  • A practical mindset and willingness to learn project systems and processes
  • Experience in infrastructure, construction, local government or project environments would be useful, but it’s not essential
